Old Business:

1) Club jackets – encouraged parents to purchase jackets.

2) Annual Tournament – to be held April 12, 2008.

Venue - Elaine has received the Certificate of Insurance from Karate BC. Now that we have changed venues the information needs to be updated on the Certificate of Insurance. ACTION: Elaine will contact Cheryl at Karate BC for a new Certificate.

Medals – Elaine brought a sample of each medal to the meeting. Discussed what should be put on the back using clear labels. Everyone decided that only the date would be necessary. ACTION: Elaine will make up labels for the back of the medals.

Sponsors – it was suggested to add a copy of the newspaper article to the sponsor letters. ACTION: Elaine will make some more copies and bring to the dojo for parents.
ACTION: Parents are asked to take letters to businesses that they know, asking for sponsorship.

Registration packages
a) Al would like to see a link on the club website to the registration package. ACTION: Elaine will email the registration package to Lynn when complete and Lynn will ensure that it gets added to the website.

b) Elaine sent the registration package out on January 15, 2008 to Karate BC, Alberta Karate, Yuko Karate, all the PG clubs, Fraser Lake, Mackenzie and anyone else she had an email address for. ACTION: Elaine will follow-up with another email.

c) Al would like to see a jazzy poster to accompany the registration package. ACTION: Al will look into it. Warren has produced a couple different posters. One has been attached to the registration package.

T-shirts – Elaine has asked Mariam Corcoran to look after the t-shirts, and she has agreed. ACTION: Elaine will give Mariam a list of the sponsors closer to the tournament date. Mariam’s daughter Angelina hasn’t been attending classes. Everyone agreed that we should not put a date on the t-shirts. ACTION: Elaine will contact Mariam to confirm that she will still look after the t-shirts.

3) Raffle Tickets – Kris Rolufs would like to have a raffle. When Kris gets the licence number, Elaine will update the tickets and get them printed.

4) Pictures – Bob Sellers is willing to take pictures of the students as a fundraiser for the Advisory. ACTION: Al to organize the date and time with Bob.

5) Pub Night – ACTION: Grant and Gill will look into a pub night at the College Heights Pub.

6) Timekeeping Course – Kris has organized for Tuesday, March 11, 2008 at 6:30 p.m. at the dojo. ACTION: Elaine will make up a sign up sheet.

7) Mock Tournaments – parents would like a mock tournament in order to show the new students and the younger students what is expected of them at the upcoming tournament in April. Kris spoke to Sensei and he will incorporate it into the class.

New Business:

1) Time clock – Al Belanger, Dave Smith and Frost Lake Logging have all pitched in to purchase an additional time clock for the dojo. Many thanks; it’s very much appreciated.

2) Annual Tournament – to be held April 12, 2008.

Set up – Friday night, April 11, 2008 between 9 and 9:30 p.m. Set up for 2 to 3 rings. Building opens at 7 a.m. on Saturday. We have it booked from 8 a.m. to 6 p.m.

Publicity – we would like the newspapers to come out and photograph our event. ACTION: next meeting ask someone to be in charge of publicity.

Parking – at the Northern Sports Centre is $.25/hour or at the UNBC parking lot for $2/day. Warren suggested getting a ticket from the UNBC parking lot and parking at the Northern Sports Centre.

Admission – discussed admission, decided on:
$2.00 per person
$5.00 per family
$1.00 per student with valid student card
No admission charged during demo at 1:00 p.m.

Demo/Lunch break – Warren and Niki will do a knife demo. Warren is inviting Kelowna to do a demo. Suggested the Sensei’s compete doing a beginner kata (pinan nidan). Suggested having a blind kata contest (when they finish, closest to the original mark gets a ribbon). Warren suggested showing videos from the World’s and/or having music played during the lunch break.

Lunch for Volunteers and Officials – at 1:00 p.m., room beside gym, costs $12/hour. ACTION: Elaine will ask Gerry Peters if he would cater the lunch again.

Lunch for Spectators – the concession should be open on Saturdays, if not the cafeteria in the university is available. ACTION: Warren to check on hours for the concession.

Donations – Warren said that Rocky Mountain Sports would likely donate something; he just has to go pick it out. ACTION: Warren to follow up.

First Aid – ACTION: Kris will ask the first aid officer at his work again.
Zone Training – on Sunday, April 13, 2008. If large attendance, it can be held at the Northern Sports Centre, if only a few interested, it will be held at the dojo.

Donations for BC Team – Warren would like to have a donation box and poster asking for donations for the BC Team. ACTION: Warren to organize.

Signs – Warren has a sign saying Welcome to Karate. We would like to have a sandwich board saying Karate Today made up. ACTION: next meeting ask if someone can look after this.

Extra equipment – it was suggested that we ask Keith if he could have some extra equipment on hand in case someone forgets a mouth guard or a set of gloves. In the past he has, but we are not allowed to set up a booth to sell merchandise. ACTION: Elaine will email Keith to ask him to bring extra equipment.

3) Meeting posters – Lynn volunteered to make up posters for the monthly meetings and put on the window of the dojo door to inform parents when our meetings are. We are going to need everyone’s help to make the tournament a success.

Old Business:

1) Annual Tournament – to be held April 12, 2008.

Sponsors – letters are available by the bulletin board for those interested. ACTION: Parents are asked to take letters to businesses that they know, asking for sponsorship.

New Business:

1) Timekeeping Course – parents would like another timekeeping course before the tournament in April. ACTION: Kris will ask Ken to organize.

2) Mock Tournaments – parents would like a mock tournament in order to show the new students and the younger students what is expected of them at the upcoming tournament in April. ACTION: Kris will talk to Ken to see if feasible.

Old Business:

1) Club jackets – encouraged parents to purchase jackets. We need four more orders before Custom Stitch will fill the two orders that we already have.

2) Annual Tournament – to be held April 12, 2008.

Venue - Elaine has received the Certificate of Insurance from Karate BC. The contract with the city can now be finalized. ACTION: Elaine will finalize contract with the city.

Medals – the medals have been ordered and have arrived. Van Horlick’s just has to put the ribbons on and they are ready.

Sponsors – we have had one donation so far. Thanks to Grant Getz for getting Larry`s Heavy Hauling. Elaine has sent them a receipt in a thank you card. ACTION: Parents are asked to take letters to businesses that they know, asking for sponsorship.

Registration packages
a) Al would like to see a link on the club website to the registration package. ACTION: Elaine will email the registration package to Lynn when complete and Lynn will ensure that it gets added to the website.

b) the registration package is complete – we just need a list of accommodations that offer Sports rates to be included in package. ACTION: Elaine will update the registration package.

c) Al would like to see a jazzy poster to accompany the registration package. ACTION: Al will look into it.

T-shirts – Elaine has asked Mariam Corcoran to look after the t-shirts, and she has agreed. ACTION: Elaine will give Mariam a list of the sponsors closer to the tournament date.

3) Raffle Tickets – Kris Rolufs would like to have a raffle. When Kris gets the licence number, Elaine will update the tickets and get them printed.

4) Change Banks – Elaine and Kris have opened bank accounts at the TD Canada Trust. Elaine and Kris have closed the account at CIBC. Elaine will wait until after the December statement has been reconciled before closing the Royal Bank. ACTION: Elaine will book an appointment with the Royal Bank in January and contact Kris with the date and time.

5) Pictures – Bob Sellers is willing to take pictures of the students as a fundraiser for the Advisory. ACTION: Al to organize the date and time with Bob.

6) Pub Night – ACTION: Grant and Gill will look into a pub night at the College Heights Pub.

New Business:

1) Website – Lynn is trying to post the newspaper article regarding the black belt presentation but she’s having trouble. She will keep trying.

Old Business:

1) Club jackets – encouraged parents to purchase jackets. We need four more orders before Custom Stitch will fill the two orders that we already have.

2) Annual Tournament – to be held April 12, 2008.

Venue - Elaine has applied with the city to have Duchess Park Secondary School and with the Northern Sports Centre at UNBC. Discussed which venue would be more suitable. UNBC has their own concession and pay parking. We are familiar with DPSS and can have our own concession. Gill motioned that we go with DPSS. Seconded by Lynne. All in favour. Carried. ACTION: Elaine will finalize contract with the city.

Medals – the medals have been ordered and have arrived. Van Horlick’s just has to put the ribbons on and they are ready.

Sponsors – the letter is ready. ACTION: Elaine will update the letter with the venue information and have ready to hand out on Wednesday, November 21, 2007. Parents are asked to take letters to businesses that they know, asking for sponsorship.

Al Belanger volunteered to be the contact person and decided on March 31, 2008 to allow people to return from spring break. ACTION: Elaine will update the registration package.

c) Al would like to see a jazzy poster to accompany the registration package. ACTION: Al will look into it.

3) Raffle Tickets – Kris Rolufs would like to have a raffle. When Kris gets the licence number, Elaine will update the tickets and get them printed.

4) Change Banks – Elaine would like to change from the Royal Bank to the TD Canada Trust because we get charge too much for bank charges and they have terrible hours. ACTION: Elaine will book an appointment with TD Canada Trust and contact Kris with the date and time.

5) Pictures – Bob Sellers is willing to take pictures of the students as a fundraiser for the Advisory. ACTION: Al to organize the date and time with Bob.

6) Pub Night – ACTION: Gill will look into a pub night at the College Heights Pub.

7) Size of a ring – Al asked Sensei Corrigan what the size of a ring was. It is 30 feet by 30 feet with 10 feet around which is free of debris.

2) Annual Tournament – to be held April 12, 2007.

Venue - Elaine has applied with the city to have Duchess Park Secondary School. Al suggested the new UNBC Sports Centre. The Connaught Youth Centre was also mentioned. We need to know what size a tournament ring is in order to book a venue large enough to run two rings at the same time. ACTION: Al to ask Ken what size a tournament ring is. ACTION: Al to check with Warren Grafton re getting the UNBC Sports Centre for April 12, 2007.

Medals – the medals have been ordered and have arrived. Van Horlick’s just has to put the ribbons on and they are ready.

September 17, 2007

Old Business:

1) Club jackets – Elaine asked Lynn and Al to try talking the new parents into purchasing jackets. We need four more orders before Custom Stitch will fill the two orders that we already have.

2) Annual Tournament – it was decided at the Zone 8 meeting on August 25, 2007 that the Nechako Karate Club would host a tournament on October 13, 2007. Elaine has tried to find a venue and has been unsuccessful. Linda Thompson and Elaine proposed that the tournament be postponed until April 2008. Elaine has checked with Karate BC to see when the Spring Provincials will be. Waiting for an answer. Duchess Park is available in April.

New Business:

1) Al Belanger suggested that we pay for Sensei Corrigan`s flight to Plano, Texas for training with Sensei Suzuki at the end of October. He will let us know how much the airfare is. There is only $300 in the bank; the rest ($2000) is saved for the Building Fund.

2) Dan Wallis is needed to attend the black belt grading in October 2007. Al suggested that the advisory not pay for his airfare but have the candidates split the cost. Sensei Corrigan informed the advisory that Dan will pay his own airfare and Sensei Corrigan will pay his own airfare to go to Campbell River to attend the black belt grading there.

3) Al Belanger motioned that all proceeds from the Prince George Open Tournament stay in the advisory account and not go to the Zone. Steve Vanderstar seconded. All in favour. Carried.

4) The medals have been ordered through Van Horlicks. They will be two inches round with a 1-inch dove and maple leaf in the centre with Prince George Open Tournament around the outside and maple leaves on the ribbons. We will print the date on clear stickers purchased from Staples and stick on the back. 125 Gold, 125 Silver and 250 Bronze.

5) Sponsors – ask Mariam Corcoran if she will organize the t-shirts. We decided to increase the donation amounts to $200 donation to get the logo on the t-shirt and poster and $100 donation to get the logo on the poster.

6) Registration packages – Elaine has used the Spring Provincials results to make sure that all the event categories are up to date. We have added a weapons division, team kata, Shitei kata and a Masters division.

7) Raffle Tickets – Kris Rolufs would like to have a Christmas raffle. He will fill out the raffle application and get the licence number to Elaine who already has the ticket draft from last year when we planned the raffle but couldn’t get the licence because our society dues hadn’t been received for 2005 and 2006.
